Job Summary:
As a key member of Legal Services, the Legal Services Coordinator undertakes significant independent work responsibilities while providing administrative support to in-house legal counsel and maintenance of departmental documentation and critical records. This role is a highly visible role with internal and external visitors. The Legal Services Coordinator draws upon practical and specialized expertise of legal knowledge, business support processes and procedures in order to respond to internal and external customers and provide timely delivery of routine tasks and transactions, reporting and processing services with confidentiality, discretion, and politically sensitive judgment.   

 

Key Accountabilities:
•    Solely responsible for creating and maintaining Escrow Materials Record which involves creation of database, analysis of contractual terms, liaison with external records storage, communication with contracted parties and affected Business Units, and escalation of deficiency concerns as required.
•    Provides administrative support to in-house counsel on external litigation, invoicing, year-end accruals, year-end audit and Risk Management Branch indemnification process as required.
•    Maintain Legal Services file share and ensures retention procedures, information succession and accessibility so that Legal Services is able to provide timely and thorough responses to inquiries.  
•    Independently prepares documentation and processes external requests for surveillance video requests.  Includes preparation of necessary court documents, liaison with both Security and external requestor, invoicing, and appropriate calendaring to ensure material is returned to BCLC in a timely matter.  
•    Develops draft correspondence (initiating and responsive), both independently and as directed by legal counsel; assists with scheduling and general administrative tasks. 
•    Maintains department documents, as well as assisting with maintenance of corporate records as needed.  Maintains external opinion library, handling in-house requests for document resources. 

 

Minimum Required Qualifications:
Education and Experience

•    Diploma in a business administration discipline;
•    Legal Assistant Certification;
•    2 to 3 years recent, related experience; 
•    An equivalent combination of education and/or experience may be considered.

 

Technical Requirements 
•    Requires understanding of legal significance of documents and appropriate handling of documents in keeping with core principles of legal privilege and confidentiality;
•    Requires understanding of privacy/security concerns as well as legal knowledge for preparation of materials;
•    Proficient in MS Office, especially Outlook, Word and Excel;
•    Familiarity with legal documents and forms and ability to prepare without instruction, including formatting and directed revisions.  Must understand and be able to maintain legal privilege;
•    Excellent organizational and interpersonal skills;
•    Ability to excel in a fast paced environment;
•    Self-motivated and resourceful;
•    Excellent verbal and written communication skills
•    Ability to work within established deadlines, extreme time constraints and to handle situations with tact and diplomacy;
•    Ability to work with a high degree of accuracy and superb attention to detail;
•    Ability to maintain strict confidentiality;
•    Awareness of pertinent legislation and its impact on Legal Services including Gaming Contract Act, Gaming Control Regulation, Freedom of Information and Protection of Privacy Act.
